Privacy Policy

1. Data you enter and calculate — stays local

All calculations run locally inside Excel. Plan provisions, census records, participant data, assumptions, and results are processed on your computer and are never sent to us or to any third party by the Add-in. There is no cloud calculation, no upload, and no background sync of workbook content.

2. What the Add-in transmits

• License validation (metadata only). When license validation is enabled, the Add-in sends exactly a license/account token, the tool name, and the version ({token, tool, version}) to our licensing endpoint to confirm your access and tier. The token is a beta key or account email you provide — never plan, census, or calculation data. The raw token is not written to our logs. If the check can’t complete, the Add-in still runs (fail-open).
• Update check (anonymous). On start, the Add-in performs a plain read-only request for a small static version file to tell you when a newer build exists. No token, machine identifier, workbook data, or custom identifier is sent — it is an ordinary web request. It fails silently if blocked.
• Feedback (only if you send it). The “Send feedback” button opens your email client, pre-addressed to hello@actuarialos.io with the build version filled in. Nothing is sent automatically; we receive only what you choose to write and send. Please do not include plan or client data in feedback.

3. What we store

• Your license/account token (e.g., beta key or email): stored locally on your machine in the Windows registry (per-user, HKCU\Software\ActuarialOS\Excel). If you enable validation, we also retain the token/email on our side to administer the beta and your access.
• Feedback correspondence: if you email us, we keep the message to respond and improve the product.

We do not use advertising cookies or third-party behavioral tracking in the Add-in.

4. How we use it

To operate and administer licensing/beta access, to notify you of updates, to respond to your feedback, and to maintain the security and integrity of the service. We do not sell your information.

5. Sharing

We share information only with service providers that help us operate (for example, hosting and email delivery), bound to protect it, or where required by law. We do not otherwise disclose it.

6. Retention

We keep license/account tokens for as long as your beta access is active plus a reasonable period afterward, and feedback correspondence as needed to support the product. You may ask us to delete your token/email; local copies are removed when you uninstall or clear the license in the Add-in.

7. Your choices

You can leave the license field blank during the beta (the Add-in still runs). Your IT department can block the update check and the license endpoint at the network level with no loss of calculation functionality. To have us delete data we hold about you, contact us below.

8. Security

The Add-in’s design minimizes data exposure by keeping computation local and limiting transmission to the metadata described above. No method of storage or transmission is perfectly secure, but we take reasonable measures to protect the limited information we handle.

9. Children

The Add-in is a professional tool and is not directed to children; we do not knowingly collect data from children.

10. Changes

We may update this policy; the effective date above reflects the latest version. Material changes will be reflected on the website.
